Fueling the Spark:
Imagining What We Can Ignite Together for INSERT NAME

The ARCC Collaborative originated as the creative engine within Advancement Resources, a global leader in research-based professional education, implementation services, and breakthrough thinking in philanthropy since 1995. As an integral part of the Advancement Resources team, we developed stories, campaigns, and experiences that helped philanthropic organizations, hospitals, universities, and nonprofits connect deeply with their most loyal supporters. Our work amplified purpose, elevated impact, and fostered enduring connections between mission-driven institutions and the communities they serve.

Today, as The ARC Collaborative, we carry forward that legacy with galvanized focus and energy, and we are thrilled by the opportunity to respond to the University of New Mexico’s Request for Proposal for the upcoming campaign launch event. This event, slated for August or September of 2026, presents a powerful moment to inspire and engage UNM donors, friends, fans, faculty, staff, and leadership alike.

We are excited by the vision outlined in your Request for Proposal and deeply honored to be considered as a creative partner in bringing this milestone event to life. With our unique blend of strategic storytelling, experiential design, and philanthropic insight, we are eager to collaborate in crafting a campaign launch that resonates with authenticity, ignites enthusiasm, and sets the stage for transformational impact.

We’re excited to keep pushing the boundaries of what’s possible—partnering with mission-driven organizations like the University of New Mexico to move hearts, shift perspectives, and spark action through storytelling that’s as genuine as it is unforgettable.

May We Introduce Ourselves…

At The ARC Collaborative (ARCC), we believe in the power of storytelling and immersive experiences to inspire action. Our mission is to enhance and bring to life our clients' visions by crafting transformative experiences that move audiences—whether that’s inspiring philanthropic support or creating unparalleled engagement within an institution or organization. Like an electrical arc—a powerful discharge that bridges gaps and generates new energy—ARCC ignites opportunities at the intersection of event productionvideo storytellingstrategic languageimmersive design, and cutting-edge technology to deliver high-impact solutions that drive connection, commitment, and lasting impact.

The ARCC may be newly independent, but our roots run deep. Emerging from Advancement Resources (acquired by Huron), a globally recognized leader in driving breakthrough thinking in philanthropy, we bring decades of expertise in donor motivation and engagement strategy. Our team has over 50 years of combined experience in event design, creative content production, and media execution, making us experts in crafting events and campaigns that don’t just leave an impression—they drive real change. More than a service provider, we become a valued extension of our clients’ teams, collaborating to bring bold ideas to life and forge lasting connections between institutions and their most loyal supporters and stakeholders.

A Winning Combination…

Over the past 25+ years, ARCC has partnered with Wired Production Group (WPG), our technical collaborator. Together, our teams have conceptualized, designed, and produced high-quality, large-scale campaign launch and donor recognition events with dynamic storytelling woven throughout for institutions such as University of Nebraska, University of Iowa, Arizona State University, Butler University, University of Delaware, Iowa State University, and University of California, Davis. The ARCC has also had the opportunity to produce special fundraising and donor communication content for University of Cambridge, University of Sydney, University of Minnesota, and others to deepen donor commitment to philanthropy.

Dynamic storytelling—whether it's major event production or bespoke donor communications—lies at the heart of fundraising campaigns. The impact this storytelling can have on your audience is the difference between “just another event” or "just another video" and a truly powerful and meaningful connection—an experience that has people talking and excited to become more engaged with their institution.

When partnering with ARCC & WPG our clients receive:

  • A customized, creative approach to helping universities, healthcare institutions, and nonprofit organizations engage and inspire their communities—alumni, patients, donors, fans, and friends alike—through emotionally resonant storytelling and strategic event experiences.

  • Passion and eagerness to work with an institution’s internal team and resources to share their campaign story in memorable ways that will resonate with their audiences for years to come.

  • Access to the ARCC & WPG teams' wide range of experience and expertise.

  • An in-depth understanding of donor motivation to carry their donor-centric culture of philanthropy through their communications and events.

OUR BOOK OF WORK

Within the lifetime of an institution, countless stories unfold—the people, the breakthroughs, the milestone moments that define its legacy. The ARC Collaborative (ARCC) has been honored to walk alongside our client partners, capturing just a few of these dynamic tales and bringing them to life. We invite you to explore a selection of our book of work, enjoy these stories, and find inspiration for your own institution’s journey.

UTAH STATE UNIVERSITY CAMPAIGN EVENT (2024)

In June 2024, the ARCC team had the privilege of producing a transformative campaign event for Utah State University (USU) at the Bastian Agricultural Center in Salt Lake City, Utah. The Foundation Team chose this venue to highlight the groundbreaking work the university is doing in the area of STEM & 4H while also celebrating a transformational gift that endowed the agricultural center to the university.

This event built upon the momentum of previous campaign events, including a launch in 2022 on Utah’s campus in Logan and a subsequent regional event in Washington, D.C., at a private club hosted by one of the university's donors. These earlier events, all produced by ARCC, solidified our ongoing partnership with USU, which culminated in the June 2024 event.

THE EVERGREEN STATE COLLEGE (2023)

In March 2023, The Evergreen State College made history with the launch of its first-ever fundraising campaign, celebrated in an unforgettable evening at the Seattle Art Museum. This milestone event was a bold declaration of Evergreen’s vision for the future—one rooted in justice, creativity, and transformative education.

Thoughtfully curated and powerfully crafted, the evening invited guests into a dynamic tapestry of storytelliing, culture, and community. From the very first moment, attendees were immersed in meaningful experiences that reflected Evergreen’s soul and spirit. Spoken word artists gave voice to lived experiences. Musicians and performers celebrated the cultural identities that shape the college’s diverse student body. Each performance, each word, each note carried with it the energy and urgency of a campaign just beginning.

The program featured heartfelt reflections from current students and college leadership, offering personal insights into the impact of an Evergreen education and the bold path forward. These moments of authenticity were elevated by appearances from talented and accomplished alumni—living proof of the college’s lasting influence and the success it nurtures.

Against the stunning backdrop of the Seattle Art Museum, the evening wasn’t just a celebration—it was a spark. A spark to ignite support, inspire hope, and launch a movement that will propel Evergreen’s mission into the future.

UNIVERSITY OF ARIZONA Campaign Launch (2023)

In November 2023, we partnered with the University of Arizona to create and produce their Fuel Wonder campaign launch event. In the pre-show reception, guests learned about exciting programs happening on campus at various “Experiential Stations.” When guests entered their historic gymnasium, they were delighted to see it had been transformed into a theatre-style environment with seating for dinner. Our team produced and edited most of the content shown on the 3-part, 60-foot-long panoramic LED walls that illustrated and highlighted the scripted remarks we wrote. After the event, one donor was so moved, they contacted their development professional to increase the size of their gift.

UC Davis Virtual Campaign Launch (2020)

The Expect Greater campaign launched on October 10, 2020, exactly on the planned date but with a fully virtual rather than in-person experience.

In the midst of the ongoing pandemic, ARCC and Wired Production Group (WPG) worked in tandem with the UC Davis campaign team to shift the entire event to a virtual engagement.

During the creative phase of UC Davis’ campaign launch planning, ARCC and WPG proposed the event theme Pure Imagination. When the UC Davis team approved the theme, little did they know that lots of imagination would be required—both theirs and that of their producing partners—to overcome the challenges thrown in their way by the global pandemic. Planning was already underway for the live event when the decision was made to go virtual. Rather than allowing a virtual setting to impose limits on the audience’s experience, the partners looked at the change in venue as an opportunity to think differently about how imagination can be demonstrated in a virtual space. You can learn more about this partnership in the blog HERE.

ARIZONA STATE UNIVERSITY CAMPAIGN (2020)

Produced as part of the Campaign ASU 2020 launch event, this video segment was designed to ignite energy, excitement, and pride in the Sun Devil community. Highlighting a key campaign objective—Driving Sun Devil Competitiveness—this piece celebrates the relentless spirit of ASU student-athletes.

By blending powerful interview voices with dynamic music, we crafted a compelling tribute to their drive, determination, and perseverance. The result is a visual and emotional showcase of what it truly means to be a Sun Devil, inspiring pride and passion in all who watch.

University of NEbraska Campaign Launch (2022)

In 2022, ARCC and WPG worked in partnership to produce the public campaign launch event for The University of Nebraska titled, Only in Nebraska: A Campaign for Our University’s Future.

This hype video was created as an event recap to share publicly with supporters.

There were 25 members of the two teams that traveled to Nebraska to provide staging, rigging, lighting, LED technology, hanging decor, audio, and video production services, transforming the unconventional venue into a dynamic event space. The agenda included five days to set up the event in the Strategic Air Command & Aerospace Museum, one day for the rehearsals and show, and less than 24 hours to pack up and head home.

Take two minutes to check out a time-lapse from the week of event production via the time-lapse HERE

uTAH sTATE uNIVERSITY cAMPAIGN lAUNCH (2022)

One of the goals for the campaign launch event for Utah State University was to create a one-of-a-kind, unexpected experience for donors, alums, and key constituents of the University. ARCC began with the first step: converting the old field house into a dynamic theatre environment with staging, lighting, and lounge seating—rather than the traditional round tables of 10.

Another important goal was to create an audience experience that was active rather than passive. To accomplish this, ARCC not only presented messaging through video and speaker remarks—but also created experiential centers where attendees got an up-close and personal look at the global issues being addressed by Utah State University—by interacting with the students and faculty working on those issues every day.

Butler University Campaign Launch (2019)

The Butler Beyond public campaign launch experience included a pre-event VIP reception at the newest building on campus, a main event in the Clowes Memorial Hall performing arts theater, and a post-event reception on the East Mall.

The main event included performances from the Butler Ballet, local opera talent Angela Brown, the Butler Symphony Orchestra, Butler University Choirs, Indianapolis Children’s Choir, and the Butler University Basketball Band.

As part of our deliverables, ARCC and WPG captured the full production as well as behind-the-scenes footage and then edited the Butler Beyond Hype Video for the marketing and communications team to send out via email the morning after the event. This strategy was tremendously successful in continuing the momentum from the event.

Our library is filled with incredible stories—each one a testament to the vision, dedication, and impact of the clients we’ve had the privilege to partner with. From transformative campaigns to milestone achievements, we are honored to have played a role in bringing these stories to life. Here are just a few of the amazing organizations we’ve collaborated with, sharing their experiences of working with us in their own words.

Don’t Take Our Word For IT

“When we hired The ARC Collaborative for our campaign kickoff, we didn’t just hire a vendor; we hired a partner. The ARCC team took time to get to know, understand, and become a part of our community, our University system that spans our state. And they listened. They listened to what we wanted to do, what we were trying to do, and also what we were struggling with, and came up with a plan that helped to guide us through the entire two-year planning process, execution of a successful public campaign launch, and beyond. They showed up and showed us that they care about our success by bringing their extensive experience and expertise to our project. The ARC Collaborative is one of the big reasons we were able to have such a great kickoff for Only in Nebraska, our largest campaign to date.”

Annie Bougger
Former Director of Donor Engagement and Events
University of Nebraska Foundation

"The USU Create Your Aggie Impact campaign event in the summer of 2024, created in partnership with The ARC Collaborative, was a true catalyst—igniting powerful conversations before, during, and long after, that inspired individuals to engage, give, and envision a brighter future for USU.
The experience moved donors and unlocked new ways for them to create impact—setting the stage for a new era of transformational giving."

Matthew T. White, PhD
Vice President Advancement
President of the USU Foundation

"The ARC Collaborative team was very enthusiastic, creative and easy to work with throughout the process. They took their time to find out who and what the University of Arizona is. Their attention to detail and keeping to timelines was commendable. As changes and adjustments were made, they rolled with the punches. In addition, their partner company Wired Production Group was simply amazing, courteous and helpful at every turn. (Oh, and fun to work with!)"

Vicky Aldrich
Associate Director, Engagement Experience and Events
University of Arizona Foundation

“This talented team was a pleasure to work with for the Campaign ASU 2020 launch event. We were blown away by the videos and the way their team told our story. Further, their flexibility, dedication to our mission and goals, and overall approach was a great match. The ARCC team created a first-class production that has served as a terrific momentum builder for Campaign ASU 2020!”

Andrew Carey
Assistant Vice President, Alumni Engagement
Arizona State University

"Our trustees and major donors were delighted and surprised by the quality of the productions. They had never experienced something like that before. Our chancellor said, ‘This is our new normal,’ and called it a game changer."

Angie Joens
Former Assistance Vice Chancellor of Development Outreach
University of California, Davis

“The production value was incredible! At the event, when the video started playing and the lights synced perfectly with the visuals it was such a powerful moment. It was so cool to see everything come together, and honestly, I wish I could’ve experienced it more than once!”

Charlie Koors
Director of Donor Engagement & Events
MU Advancement

"It was our privilege to work with your team. We are still basking in the afterglow and receiving a steady flow of incredibly positive outreach from alumni, donors and community members. And, the media coverage has been outstanding. The event did exactly what we needed it to do—deliver a passionate and well-articulated vision for the future that invites our audience to support that vision through their philanthropy. Thanks for creating this powerful platform upon which we can build our University's future."

Creative Briefs

The ARC Collaborative is built on 25+ years of experience creating events and campaigns that engage donors and supporters. We’re proud to share a few examples that highlight our wide range of experience and expertise in creating compelling, large-scale campaigns that raise awareness and drive emotional engagement with broad audiences.

When USU launched its unconventional, donor-driven campaign, they tapped into our expertise in crafting dynamic events that go beyond traditional fundraising models. Instead of a conventional campaign with 4-6 set funding priorities, the USU campaign encouraged supporters to Create Your Aggie Impact by seeking out and contributing to priorities that were personally meaningful to them. Our team responded to this challenge by crafting experiences that encouraged inquiry, exploration, and conversation. TED-style talks, moderated discussions, and time to engage with students and subject matter experts at experiential booths brought the campaign to life in ways that were both personal and inspiring. Venues were transformed with a focus on encouraging conversations, using soft seating and interactive wayfinding wristbands.

Over the course of our partnership, The ARC Collaborative has produced four unique events for USU, each tailored to their evolving campaign needs—from converting an iconic field house into a sleek venue to a boutique experience in Washington, D.C., to transforming the Bastian Agricultural Center into an elegant “cowboy chic” gala. As we gear up for our latest collaboration, a College GameDay-themed fundraising event for USU’s athletic department, we remain committed to pushing creative boundaries and delivering experiences that leave a lasting impression.

When Rutgers University launched their We R U social media engagement campaign, they turned to us to help bring their vision to life. We worked closely with them to identify and feature alumni and supporters in dynamic short-form videos, crafting engaging narratives that resonated with their audience of supporters.

Beyond social media content, we played a key role in producing a series of long-form videos showcasing distinguished faculty, alumni, and programs. From developing the creative concepts used to scouting participants and conducting interviews to shooting and editing footage, we ensured each story was told with authenticity and impact.

A standout piece from this campaign was the anthem video. Poet Walt Whitman is tied to the history of Rutgers, so we scripted the narration to echo his iconic writing. We traveled independently to several Rutgers campuses and other remote locations—including homes of supporters. As an extension of the Rutger’s team, we were mindful to steward those we worked with in addition to capturing breathtaking visuals and heartfelt stories.

Watch the Anthem Video

When the University of Missouri had the idea to do a series of road show events leading up to their campaign launch, they turned to The ARC Collaborative for a strategic approach to building buy-in and creating ambassadorship for their upcoming campaign launch. Our modular event framework allowed for flexibility while maintaining a cohesive brand and message.

We developed adaptable scripts for key speakers—including the university president and interim vice chancellor for university advancement—ensuring that each event felt fresh, localized, and engaging. Working with their team, we tailored content for each location and campaign priority. For example, at the roadshow in Chicago, we were able to leverage young alumni entrepreneurs working in the area by showcasing their businesses in experiential centers and including them in a moderated discussion about how Mizzou nurtured their business skills. For events that took place near the election, we showcased the campaign priority of civil discourse through moderated discussions with students and faculty who are associated with University of Missouri School of Law and Kinder Institute on Constitutional Democracy.

The ARC Collaborative’s long-standing partnership with the University of Nebraska has centered on bringing their bold vision to life through storytelling, dynamic visuals, and immersive experiences. From campaign launches and celebrations to mid-campaign rally events, we’ve helped the University of Nebraska keep momentum high. As the state’s only public university system, Nebraska must balance the identities of four distinct campuses while uniting them under a shared mission. Our team helps them navigate this challenge by crafting messaging and event experiences that celebrate each campus’s unique strengths while reinforcing the university’s collective impact.

Working alongside our trusted technical partner, Wired Production Group, we transformed a frequently used campaign event venue—an airplane hangar at the Strategic Air Command & Aerospace Museum—into a fresh, high-energy experience each time. For their second campaign launch, we designed a massive LED screen in the shape of the state to showcase their Only in Nebraska campaign, immersing guests in a powerful visual narrative. To sustain engagement beyond the event, we created a strategic Hype Video—a polished recap that captures the most compelling moments and reinforces campaign messaging. The University of Nebraska advancement team uses our “hype” videos to build and maintain momentum.

Most recently, when the University of Nebraska’s trustees sought an interactive and engaging alternative to a traditional meeting, they turned to The ARC Collaborative. With just weeks to execute, we transformed a field house into an immersive event space featuring campus-specific experiential centers and a unique “on-location” interview format hosted by a former Miss Nebraska and advancement team member to convey the messaging of each center and the campus they represented.

Our Values

The ARC Collaborative team values the relationships we have with each of our clients. Our approach is rooted in active listening, ensuring that we fully understand each client’s unique culture, goals, and challenges before we ever put a plan into action. We ask thoughtful questions, listen carefully to their priorities, and remain attuned to the nuances that make each institution distinct. This commitment to collaboration allows us to create events and experiences that are not only seamless but deeply resonant with our audiences. We pride ourselves on being more than just a vendor—we are a trusted partner and an extension of our clients’ teams, and all our efforts are informed by our dedication to our company’s core values.

  • We don’t just think outside the box—we redefine it, constantly exploring, experimenting, and pushing boundaries to create engaging and memorable experiences.

  • Mediocrity is never an option. We are relentlessly curious, ensuring that every detail contributes to an unforgettable and impactful experience.

  • We believe in the power of collaboration, blending diverse perspectives and expertise to craft innovative solutions that exceed expectations.

  • We design experiences that continue to resonate long after the moment has passed, forging deep connections and measurable results.

  • We lead with honesty, transparency, and accountability, ensuring that every partnership is built on trust and a shared commitment to success.

Additionally, we recognize that many of our clients operate within budgetary constraints, and we pride ourselves on maximizing impact within those parameters. By building modular event frameworks, crafting messaging that can be repurposed across multiple platforms, and creating high-quality video assets that extend the life of an event, we help institutions get the most value from their investment.

Our focus on customer service means we anticipate needs before they arise and adapt in real time. Just as we maximize budgets through strategic planning, we also maximize impact by ensuring that every touchpoint reflects our clients’ values, priorities, and institutional voice. Our goal is to make their jobs easier, their events more successful, and their audiences—no matter the medium—more deeply engaged.

OUR CREATIVE PROCESS

For milestone campaigns, we typically recommend a phased approach with creative, production, and execution encompassed within two stand-alone phases.

From the beginning of our partnership, The University of New Mexico will have a dedicated project manager. The project manager will be responsible for creating a detailed campaign project plan with milestone dates, review deadlines, and delivery dates for key event content. Additionally, the project manager will provide budget reporting as required to ensure the project proceeds on time and within the allotted budget for each phase and each event.

As a core part of our workflow, ARCC will conduct regular meetings with The University of New Mexico to ensure efficient and effective production. This consistent communication allows for both teams to raise and address any concerns that arise in a timely manner and maintain a current campaign project plan as planning and production progresses throughout each phase. ARCC will provide agendas for all project meetings and will manage the scheduling of any additional necessary meetings with client leadership and/or campus partners.

  • DEVELOP A COMPREHENSIVE STRATEGY

In order to create an effective campaign, VIP signature event, community celebration(s), virtual event(s), or in-person regional event(s) that not only inspire increased philanthropic engagement, but also steward the current base of alumni, friends and fans, the ARCC starts every event project by listening, learning, and exploring the possibilities. The team will get to know the current state of an organization or institution through messaging and collateral, cases for support, project and program information, campaign theme and brand voice, and an on-site or virtual kickoff meeting with the key stakeholders and project team.

During Phase One, the ARCC may hold focus groups with key voices from the institution--alumni, patients, donors, fans, friends, and other key constituents. These discussions will provide diverse perspectives on the institution's personality, values, and icons. This deep dive into the culture will also be informed by existing campaign messaging and any focus groups or interviews already completed by or for the institution.

The ARCC will work with the client team to establish the campaign parameters, including the production and content creation needs for each of their desired engagement opportunities and events. The teams will collaborate to develop creative concepts and show flows for the campaign programming, communication, and events.

While we specialize in events, our expertise extends far beyond the stage. The ARCC team has the expertise to craft compelling storytelling strategies across multiple mediums—video, social media, written content, and live experiences—to engage the institution's devoted community on an intellectual and emotional level.

Our approach is more than marketing; it’s about inspiring action and deepening connections with supporters.

From developing messaging that resonates to producing creative content that brings a campaign to life, we will handle every aspect of storytelling with precision and care. Whether it’s crafting a social media campaign, producing an anthem video, or designing an immersive event experience, our team will take on both the creative and administrative heavy lifting—allowing the the client team to focus on their important daily responsibilities. All we need is an introduction to the voices you want to highlight, and we take it from there, ensuring those voices are heard in a way that is authentic to the institution and the focus of the campaign.

Throughout Phase One, the ARCC team will develop the specific concepts of the campaign by creating a plan that integrates a variety of components—including experiential elements, video, live speakers, and graphic and written elements—establishing an informative, engaging, and interactive celebration of this milestone moment for the institution. These plans will reflect and build upon their beloved brand, deepening the connection to the institution. They will strengthen the shared identity while clearly communicating the campaign’s theme, priorities, and goals—ultimately inspiring the audience to take action.

At the end of Phase One, the ARCC team will present imaginative and unique campaign plans to the client team to ensure a mutually agreed upon direction for developing campaign content. Following any feedback and revisions, the campaign plans will be finalized and approved.

Through this agreement of the campaign plans, the ARCC team alongside the UNM team can establish an agreed-upon investment for the remainder of the campaign and implementation (Phase Two). Any staffing needs from client will be determined (such as a point of contact), the scope of work for ARCC will be fully defined, and a full schedule and production strategy for the campaign will be created.

At the conclusion of Phase One, the client will receive an Event Plan and Show Outline (EPSO)—a comprehensive blueprint and investment that guides the design, development, and execution of all elements in Phase Two.

  • PRODUCE AND EXECUTE THE CAMPAIGN

During Phase Two, ARCC will develop, write, and produce campaign content as approved in Phase One. In order to move seamlessly into production, the ARCC team will coordinate regular communication with the client team.

The ARCC believes that true emotional impact and meaningful content comes from utilizing the voices of those individuals who will most directly realize the immediate impact of the campaign, including students, faculty, patients and their families, alums, donors, fans, and friends.

In order to produce the appropriate and compelling content, ARCC will provide guidance to the client in crafting messaging and selecting individual stories to feature. Personal stories from the institution's community can be showcased through editorial features, social media posts, short videos, custom graphics, interactive experiences like live-streamed events, press kits, and community engagement, encouraging support and pride.

Whether we’re crafting event remarks, editing interview footage, or producing a campaign anthem video, we ensure that every final product not only advances the strategic goals of the campaign, but also captures and reflects the heart of the institution.

Our interviews are conducted in a relaxed, conversational manner to encourage genuine storytelling that reveals personal connections and inspires action.

More than just an interview, our team will capture the stories and history of the institution, using video as a stewardship tool to create deeper buy-in and strengthen ambassadors for your campaign.

Graphic and visual imagery are designed to reinforce key messaging while also generating excitement and deepening audience engagement. Across all mediums, we carefully shape creative and performance elements to elicit specific emotional responses, ensuring that each touchpoint—spoken, written, or visual—moves audiences seamlessly through an immersive and meaningful experience. By weaving together these storytelling elements, we don’t just inform—we create lasting emotional connections that drive engagement, inspire action, and instill pride in being part of the institution and its community.

As the creative elements are developed, ARCC will conduct regular virtual or in-person meetings with the client to ensure efficient and effective production. This consistent communication allows both teams to raise and address any concerns that arise in a timely manner and maintain current programming plans as production progresses.

Completing Phase Two also encompasses executing the event. The ARCC team has extensive experience in full event production and deeply understands and respects the careful consideration required while working with high-level leadership, donors, and constituents important to your success.

The ARCC team has the expertise required to manage and coordinate all load-in and set-up of technical components, staging, lighting, and audio/visual equipment. ARCC will work with the client team to coordinate rehearsals for each performer, speaker, and individual featured in the event. In addition, ARCC will provide the consultation and coordination of additional vendors as agreed upon in Phase One and Phase Two.

THE CREATIVE PATH TO YOUR CAMPAIGN KICK-OFF EVENT

We recognize that the planning conversations for the University of New Mexico’s campaign launch event likely began well before our involvement—and we’re honored to join the conversation at this exciting stage. From our experience, the most successful campaign launches benefit from a thoughtful runway of approximately 9–12 months. This timeframe allows for intentional idea generation, creative exploration, and inclusive collaboration—ensuring that all voices are heard, valued, and reflected in the final experience.

In addition to concept development, this timeline also allows the necessary space for the execution of those ideas, including the production of video content, development of graphic design assets, and the buildout of key event experiential elements. The timeline below offers a high-level view of how we envision mapping out our work together—from early ideation to the culminating moment of a powerful and memorable kickoff event.

FROM BLUEPRINT TO BRILLIANCE

There’s a unique kind of magic that happens when a bold vision first sketched on paper begins to take shape—evolving from floor plans and renderings to immersive fly-throughs, and ultimately, to a fully realized experience. At The ARC Collaborative, we specialize in turning creative concepts into transformative realities. With deep expertise in high-impact stage production, we don’t just design moments that impress—we build environments that elevate messaging, amplify content, and move audiences. Our work is rooted in the belief that thoughtful production design can do more than wow a crowd—it can shape the narrative, reinforce purpose, and leave a lasting impression. From dream to drawing to delivery, we’ve brought countless visions to life in ways that truly lift the show and the story behind it.

Meaningful Investment

PHASE ONE Investment

The investment for Phase 1 is $40,000. This fixed-cost budget encompasses all elements of creative conception, production design, and event flow planning. It also includes all travel and expenses associated with a site visit to scout viable venues and locations. Additionally, the investment covers the development of a comprehensive blueprint that will guide the design, development, and execution of all components in Phase Two, ensuring a cohesive and strategically aligned program.

PHASE TWO Investment

A proposed Phase 2 investment range of $350,000–$600,000 represents a comprehensive and transformative
approach tailored to the scope of goods and services outlined in The University of New Mexico’s RFP for UNM’s Comprehensive Kick-Off.

This estimate reflects our deep experience in not only transforming venues such as The Pit (UNM’s Basketball Arena), Popejoy Hall, and Johnson Field, but also in crafting captivating and compelling content that motivates and moves your guests to deeper commitment and connection. Together, these elements create a dynamic and immersive experience worthy of this historic milestone for the university.

  • The proposed investment range of $350,000–$600,000 encompasses all core elements necessary for the seamless development and execution of a high-impact event. This includes production elements, program development and scripting, project management, travel, and associated expenses.

The scope of services encompasses video capture and production, speechwriting, graphic design, event coordination, and scriptwriting. It also includes rehearsal management for all show participants, on-site event and vendor oversight, permit acquisition and compliance, and comprehensive technical direction—complete with all necessary equipment for seamless execution. Live show production and livestreaming operations are included as part of the event delivery. Additionally, the budget accounts for multi-camera documentation of the event to support post-event engagement and follow-up efforts.

  • Please note that the proposed budget does not include costs for catering, invitations, printed collateral, event takeaways, or hired entertainment. This approach provides The University of New Mexico with the flexibility to tailor these elements to specific needs and preferences. Additionally, venue rental fees and any supplementary labor required by the venue are not included in this estimate.

If the event requires the creation of a custom venue—such as a tented structure—please note that associated infrastructure costs, including subflooring, HVAC, exterior lighting, and other necessary installations, would be considered additional expenses. In the following sections, we have outlined several optional enhancements that can further expand and enrich the guest experience through additional investment.

  • The proposed investment is adaptable based on the desired features and elements of the event. We are committed to working with UNM to adjust the investment to meet event expectations and ensure a successful outcome.

    • Where Comfort Meets Connection: A Strategic Seating Upgrade
While not included in the current investment scope, incorporating a tiered seating arrangement—featuring a mix of lounge seating, soft furnishings, and table setups—can significantly elevate the guest experience. This thoughtful layout encourages fluid movement and social interaction, creating more organic opportunities for your development team to connect meaningfully with a broader range of attendees.

    • Empowered to Engage: Development Team Training
We offer an optional add-on of pre- and post-event training sessions for your development staff. These sessions are designed to equip team members with tools and strategies to engage in meaningful, philanthropic conversations before, during, and after the celebration. By building confidence and alignment, this training helps maximize the event’s impact and strengthens donor relationships.

    • Keep the Spark Alive: Post-Event Hype Video
As added value beyond the proposed investment, we recommend producing a post-event hype video. Footage will be captured during the event, and the video will be edited and delivered within hours of its conclusion—providing your Marketing and Communications team with a dynamic, ready-to-use asset. This immediate touchpoint helps sustain event momentum and serves as a powerful tool for donor stewardship and continued engagemen.

INVESTMENT CONCLUSION

The proposed investment range is designed to deliver a transformative event experience across the outlined venue options, ensuring that every detail—from project management to guest engagement—is thoughtfully planned and flawlessly executed. By encompassing key components while allowing room for customization, this proposal is built to honor a historic moment for the university and create a lasting, meaningful impact.

Every Voice In The Crowd

The ARC Collaborative understands that impactful messaging must be rooted in authentic, varied voices. Our approach centers on capturing a wide spectrum of perspectives throughout the conceptualization, development, and production phases to ensure the lived experiences of those connected to the client institution are deeply reflected.

We will work in close partnership with the UNM team to identify and elevate interviewees, presenters, speakers, and participants who embody the institution’s unique character and mission. By doing so, we aim to create a content that not only resonates across audiences but also inspires individuals to reflect on their personal and professional connections to the institution, discover meaningful ways to celebrate its milestones, and support the exceptional work happening within and beyond the campus community.

As ARCC develops creative concepts for the campaign messaging and events, the partnership will also consider the environmental impact of each technology component, experiential element, and interactive design. Our team is committed to reducing waste, identifying energy-efficient technologies, and producing creative and event elements with long-term sustainability in mind.
